This policy explains what personal information Affordable Conveyancing collects, why we collect it, who we share it with and the rights you have under UK data protection law.

Who we are

Affordable Conveyancing is the controller of the personal data described in this policy. We run a conveyancing quote and introduction service for England and Wales. You can contact us about privacy at hello@affordableconveyancing.co.uk.

What we collect

When you use our quote request form, we collect the information you provide, which may include:

  • your name, email address and phone number
  • the type of transaction (for example buying, selling or remortgaging)
  • property details such as approximate price, tenure and location
  • any notes you add about your circumstances
  • your consent choices and the date and time you submitted the form

We also keep correspondence if you email us. Our web server may record basic technical information, such as IP address and browser type, for security and to keep the site working.

Please don't include sensitive information (such as health details) in the form unless it is necessary for your quote.

Why we use your data

  • To arrange your quote: we pass your details to a regulated conveyancing firm so it can contact you with a quote.
  • To respond to you: answering questions, complaints and requests.
  • To run and protect the website: preventing misuse, fixing faults and keeping records we're required to keep.

We don't sell your personal data, and we don't use it for unrelated marketing.

Lawful bases

Under the UK GDPR we rely on:

  • Consent for sharing your details with a conveyancing firm. You give this on the quote form and can withdraw it at any time, although withdrawal won't affect sharing that has already taken place.
  • Legitimate interests for responding to enquiries, keeping records of introductions and protecting our website.
  • Legal obligation where we must keep or disclose information by law.

Who we share it with

With your consent, we share your quote details with the conveyancing firm we introduce you to (an SRA-regulated solicitor firm or a CLC-licensed conveyancer). If you instruct that firm, it becomes a separate controller of your data and its own privacy notice will apply.

We also use service providers who help us run the site, such as hosting and email providers. They process data only on our instructions. We may disclose information if required by law or to protect our rights.

How we're paid

We may receive a fee from the conveyancer we introduce you to. If so, it will be disclosed to you in writing before you instruct them, and it does not change the quote you're given.

Keeping your data secure

We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls limiting who can see quote requests, and reputable hosting providers. No website can be completely secure, but we take reasonable steps to prevent loss, misuse or unauthorised access. If a data breach occurs that is likely to put you at risk, we will tell you and the ICO where the law requires it.

Children

Our service is intended for adults. We don't knowingly collect information from anyone under 18.

International transfers

We aim to store data in the UK. If a service provider processes data outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law.

How long we keep it

We keep quote requests and related correspondence for as long as needed to arrange your introduction, deal with any queries or complaints and keep accurate records of referrals, normally no longer than two years from your last contact. Server logs are kept for a short period for security. We then delete or anonymise the data.

Your rights

You have the right to:

  • access the personal data we hold about you
  • have inaccurate data corrected
  • have your data deleted in certain circumstances
  • restrict or object to certain processing
  • data portability, where it applies
  • withdraw consent at any time

Complaints

If you're unhappy with how we've handled your data, please contact us first so we can try to put it right. You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.
